What you'll do

We are looking for a highly organized, Executive Assistant with outstanding attention to detail, sense of urgency and critical thinking skills to support the President of Viasat. This position will be based in our Carlsbad, CA corporate office.


The day-to-day

In this position, you will support the President of Viasat. You will demonstrate a high level of energy, strong teamwork skills, and an exceptional ability to proactively prioritize and organize responsibilities in providing outstanding executive support. You must have superb relationship and customer service skills, experience working with the highest levels of our executive staff and external partners and is consistently laser focused on attention to detail, while being prepared to quickly respond to changes in direction. We’re proud of our culture and find that our Executive Assistants play an important role in serving as ambassadors to our company.

  • Manage the President’s daily schedule, including arranging and prioritizing appointments, meetings, conference calls, and ensuring they are well-prepared for each appointment.
  • Manage daily high volumes of phone calls, written correspondence, and emails.
  • Builds strong relationships at all levels of the organization while regularly interfacing with internal executives, members of the Board of Directors, and high-profile external parties with the highest level of professionalism.
  • Coordinate business travel in accordance with travel preferences and corporate travel/expense guidelines using Concur booking tool.
  • Manage and track expense reports and receipts, reconciling corporate credit card accounts regularly.
  • Coordinate meetings and events, including preparing agendas, materials, presentations, taking minutes as needed and conducting necessary follow-up.
  • Facilitate event planning for off-site or on-premises events, including communications, space selection, logistics, travel, hospitality, and technology.
  • Assist in creating professional PowerPoint presentations to include proofreading, editing and validating content for accuracy.
  • Maintain confidentiality and exercise the highest level of ethics in connection with all confidential information.
  • Prioritize conflicting needs, handle matters expeditiously and follow through on action items and next steps as required.
  • Effectively and consistently communicate with senior leadership teams on projects and executive calendars, while providing backup support to other executive assistants as needed.

What you'll need

  • 7+ years of experience as an Executive Administrative Assistant to a c-level executive of a global organization.
  • Meticulous attention to detail, efficiency, and accuracy.
  • Exceptional problem-solving aptitude, critical thinker, and organizational skills.
  • Experience supporting multiple senior leaders distributed globally.
  • Experience planning global meetings and events for large groups.
  • Experience with budget tracking/analyses.
  • Experience developing and managing complex corporate calendars.
  • Experience working in a highly collaborative environment.
  • Ability to learn and adapt quickly.
  • Advanced skills in Microsoft Office, (Outlook, Excel, PowerPoint, Word, Visio), and other administrative systems.
  • Advanced web-based tool skills, (SharePoint, Concur, etc.).
  • Working knowledge of Zoom, WebEx, GlobalMeet, Oracle, Slack.

Salary range

$93,900.00 - $152,450.00 / annually
